Cookie Policy

1. About this policy

This Cookie Policy explains how Lettle.co (a trading style of Urban Nests Ltd, Company No. 12230092, registered in England and Wales) uses cookies and similar technologies on the Lettle.co platform (“Platform”).

This policy should be read alongside our Privacy Notice, which provides full details of how we collect, use and protect your personal data.

2. What are cookies?

Cookies are small text files that are placed on your device (computer, tablet or mobile phone) when you visit a website. They are widely used to make websites work more efficiently, to provide a better user experience, and to provide information to the owners of the site.

Cookies may be “session” cookies (which are deleted when you close your browser) or “persistent” cookies (which remain on your device for a set period or until you delete them).

Cookies can be set by the website you are visiting (“first-party cookies”) or by third parties whose services are used by the website (“third-party cookies”).

3. Cookies we use

3.1 Strictly necessary cookies (essential)

These cookies are essential for the Platform to function. Without them, you would not be able to log in, navigate between pages, or use core features. Because these cookies are strictly necessary, they do not require your consent under the Privacy and Electronic Communications Regulations 2003 (“PECR”).

Cookie namePurposeTypeDuration
session_tokenIdentifies your authenticated session so you remain logged in as you navigate the Platform.First-party, essentialSession (deleted when browser closes) or up to 30 days if “remember me” is selected
csrf_tokenProtects against cross-site request forgery attacks by verifying that form submissions originate from the Platform.First-party, essentialSession
auth_roleStores your current active role (landlord, tenant or trade) to ensure you are directed to the correct area of the Platform.First-party, essentialSession

3.2 Functional cookies (preferences)

Functional cookies remember choices you make (such as display preferences or notification settings) to provide a more personalised experience. These are not strictly necessary but improve how the Platform works for you.

Cookie namePurposeTypeDuration
ui_preferencesStores user interface preferences such as sidebar state and notification dismissals.First-party, functional1 year

3.3 Analytics cookies

We do not currently use analytics cookies on the Platform. If we introduce analytics cookies in the future, we will update this policy and, where required, seek your consent before setting them.

We reserve the right to introduce privacy-respecting analytics in the future to understand how the Platform is used and to improve our services. Any such analytics will be clearly disclosed in an updated version of this policy.

3.4 Third-party cookies and tracking technologies

We use Postmark (operated by ActiveCampaign LLC) as our transactional email provider. Postmark may embed a tracking pixel (a small, invisible image) in emails sent through the Platform. This tracking pixel records:

  • Whether an email has been delivered.
  • Whether and when an email has been opened.
  • The approximate geographic location of the open (based on IP address).

This tracking is used for compliance purposes — specifically, to provide landlords with proof of delivery and service of legally required documents (such as pre-contract packs, statutory packs and prescribed information). This serves a legitimate interest under Article 6(1)(f) of the UK GDPR.

The Postmark tracking pixel is not a cookie stored on your device but a server-side tracking mechanism embedded in emails. It does not track your browsing activity outside of the specific email in which it is placed.

We do not use any other third-party cookies, advertising cookies or social media tracking pixels on the Platform.

4. How to manage cookies

Most web browsers allow you to control cookies through their settings. You can usually find these settings in the “Options”, “Preferences” or “Settings” menu of your browser. The following links may be helpful:

  • Google Chrome: Settings → Privacy and Security → Cookies and other site data
  • Mozilla Firefox: Settings → Privacy & Security → Cookies and Site Data
  • Apple Safari: Preferences → Privacy → Manage Website Data
  • Microsoft Edge: Settings → Cookies and site permissions → Manage and delete cookies and site data

Please note that if you disable or block essential cookies, certain features of the Platform will not function correctly. In particular, you will not be able to log in or maintain an authenticated session.

To opt out of Postmark email open tracking, you can configure your email client to block remote images. Most email clients (including Gmail, Outlook, Apple Mail and Thunderbird) offer this setting. However, please be aware that this may affect how other emails display as well.

5. Your consent

Strictly necessary cookies do not require your consent under PECR, as they are essential for the Platform to function.

For functional cookies, by continuing to use the Platform you consent to our use of these cookies. You can withdraw your consent at any time by clearing your cookies through your browser settings.

If we introduce analytics or other non-essential cookies in the future, we will implement a cookie consent mechanism and seek your explicit consent before setting those cookies.

6. Changes to this policy

We may update this Cookie Policy from time to time to reflect changes in the cookies we use or for other operational, legal or regulatory reasons. The “Last updated” date at the top of this page indicates when the policy was last revised.

Where changes are material (for example, the introduction of new analytics cookies), we will notify you by displaying a notice on the Platform and, where appropriate, seek your consent.
